Kansas - W2 State Filing Requirements


The state requires the filing of Form W-2 if wages were paid to Kansas employees or if income tax was withheld during the year. 

Kansas State ID Format:
 
  • 15 digits – Starts with 036, followed by 9-digit EIN, hyphen, and “F01” (e.g., 036-123456789-F01)

  • 15 digits – 036 followed by 9-digit EIN, the letter “F”, a hyphen, and “01” (e.g., 036123456789F-01)

  • 15 digits – 3 digits followed by 9-digit EIN, the letter “F”, and a 2-digit suffix (e.g., 036123456789F01)

  • 17 digits – 3 digits, a hyphen, 9-digit EIN, “F”, a hyphen, and a 2-digit suffix (e.g., 036-123456789F-01)

  • 17 digits – 3 digits, a hyphen, 9 alphanumeric characters, “F”, a hyphen, and a 2-digit suffix (e.g., 036-XXXXXXXXXF- 01)

  • 15 digits – 3 digits followed by 9-digit EIN, “F”, and a 2-digit suffix (e.g., 036999999999F99)

     

Filing Criteria and Requirements

1: If there is any Kansas state tax withheld

  • Filing Method: Direct State Filing

    • You must file a W-2 directly with the state.

  • Additional Form Required: Form KW-3 

    • TaxBandits doesn't support filing Form KW-3 with the state. The payer must file the form directly with the state before the deadline

  • Deadline: February 02, 2026


Criteria 2: If there is no Kansas state tax withheld

  • Filing Method: Direct State Filing

    • You must file a W-2 directly with the state.
