How to fix the TIN matching error for the recipient?


TIN Matching errors usually occur when the recipient’s Name and TIN combination do not match the IRS database.

Important Notes:

  • You have two attempts to correct and revalidate the TIN before the transmission date.

  • If both validation attempts fail, further validation cannot be performed, but you can still update the TIN within the allowed timeframe so that the corrected details reflect in the filed forms and generated PDFs.

  • If the TIN is not updated within the timeframe, the forms will be transmitted as originally submitted.

You can resolve errors in two ways:

Fix Through Address Book

Step 1: Go to ‘Address Book’ and select ‘TIN Matching’.


Step 2: Navigate to the ‘Recipients with Errors’ tab to view all recipients with TIN issues. Click 'Fix Errors' next to the specific recipient.


Step 3: Review and correct the Name, TIN, or TIN Type. If you believe the previously provided details are correct, you may choose to skip the error.


Fix Through Review Tab (During Form Filing)

If a recipient’s TIN is missing or invalid during filing, their details will appear under the 'Review' tab. Follow the steps below to correct the errors:

Step 1: Click ‘Fix’ to view the issue and correct it.

Note: You may skip these errors and proceed, but the IRS may flag errors on your forms (even though they may get accepted), and you may face potential penalties. It is recommended to fix the errors before submission.

 

Step 2: Click ‘Correct TIN’ under the Action column.


Step 3: A list of recipients with TIN errors will appear. Select the ‘Correct TIN’ next to the corresponding recipient.


Step 4: Update the correct Name, TIN, or TIN Type and click ‘Update & Initiate TIN Matching.’
