What are the different status updates for my filing/distribution/validation?

Staying informed about the status of your form filing is essential for a smooth and timely process. Whether you're filing with federal or state agencies, knowing the current status helps you manage your next steps. Below, you’ll find a breakdown of the different status updates you may encounter during the filing process.


Federal Filing Status
 

Status 

Description 

Order Received

We’ve received your order, and your forms are being processed for submission to the IRS/SSA.

Scheduled On

Your forms are scheduled for transmission to the IRS/SSA on the scheduled date. You can make edits until that date.

Order Processing

Your forms are being processed for transmission to the respective agency. Once the forms are sent to the respective agency, the status will be "Sent To Agency".

On Hold

If there are validation errors, your forms will be placed on hold for a specified period. You can correct the errors before the deadline.

Sent to Agency

Your forms have been transmitted to the IRS/SSA. You’ll be notified once they are processed.

Accepted

The IRS/SSA has successfully accepted your forms. You can file corrections if needed.

Accepted with Errors

(Applies only to 1099 forms) The IRS has accepted your forms with errors. You need to file corrections. Learn More

Rejected

The IRS/SSA has rejected your forms due to errors. You can correct and retransmit them at no additional cost. Learn More



State Filing Status

Description 

Order Received

We’ve received your order, and your forms are being processed for submission to state agencies.

Scheduled On

Your forms are scheduled for transmission to state agencies on the scheduled date. You can make edits until that date.

On Hold

If validation errors occur, your forms will be placed on hold. You can fix the errors before the deadline.

Sent to Agency

Your forms have been transmitted to the state agency. You’ll be notified once processed.

Accepted

The state agency has accepted your forms. You can file corrections if needed.

Rejected

The state agency has rejected your forms due to errors. You can correct and retransmit them at no additional cost. In certain states, retransmission may be unavailable. Learn More

In Progress

The online access email is in the process of being sent but hasn’t reached the recipient's inbox yet.

Email Sent

A secure link to access the form copy has been emailed to the recipient.

Bounced

The online access email has bounced.

Marked as Spam

The online access email has been flagged as spam.


CONSENT STATUS
 

Pending

The recipient has not yet provided consent to receive the form electronically.

Consented

The recipient has provided consent to receive the form electronically.

Revoked

The recipient has revoked their consent.


VIEW/DOWNLOAD STATUS
 

Yet to View

The recipient is yet to view the form.

Viewed/Downloaded PDF

The recipient has viewed or downloaded the form.


Postal Mailing Status
 

Status 

Description 

Order Received

We’ve received your order, and we are preparing the forms for delivery to our postal partner.

On Hold

If there are USPS validation errors, your forms will be placed on hold. You can correct the errors before the deadline. Otherwise, your forms will be delivered to the originally reported address. You can choose to ignore the error if the original address is correct.

Mail Sent/Postal Sent

Your forms have been sent to our postal partner and will be delivered within 2-3 business days.



TIN Matching Status
 

Status 

Description 

In progress

This indicates a temporary delay in processing by the IRS. It will be resolved automatically before your form is transmitted.

Success

Your recipient’s name and TIN match the IRS records.

Failed

Your recipient’s name and TIN do not match the IRS records.



USPS Validation Status
 

Status 

Description 

In progress

Your recipient’s address is currently being validated. It will be completed within 1-2 business days.

Success

Your recipient’s address matches USPS records.

Failed

Your recipient’s address does not match USPS records.



Form Validation Status
 

Status 

Description 

In progress

Your forms are currently being validated. This will be completed within 1-2 business days.

Success

The data on your forms aligns with IRS Business Rules, and no errors were found.

Failed

Your data contains errors based on IRS Business Rules.
