What is Postal Mailing, and how does it work?

Postal Mailing in TaxBandits is a recipient copy distribution service that physically delivers recipient copies of tax forms—such as 1099, W-2, ACA 1095, 1098, 1042-S, 3921, and 3922—on your behalf. It eliminates the need for you to download, print, and manually send these forms yourself.

We support postal mailing for both domestic and international recipients.

Key points to remember

• Once you place an order for postal mailing, the mailings are scheduled to be sent out the very next day to the respective individuals. Typically, your recipients will receive copies of their forms within 3 to 4 business days, depending on the delivery address.
   
• However, when the deadline to mail out copies nears (e.g., the last week of January), multiple mailings are scheduled for the same day. If you place an order on or before January 29, 11:59 PM EST, the form copies will be sent to the recipients in time to be postmarked by January 31, ensuring compliance with SSA/IRS requirements.
   
• Important: If you place an order after January 29, we cannot guarantee that the recipient copies will be delivered before the January 31 deadline.
   
• Additionally, please note that if there are any USPS validation errors on the forms, postal mailing will be put on hold until January 29. If the address issues are not corrected by then, the forms will be mailed to the address provided initially.

How does it work?

1. Choose postal mailing - When you're submitting tax forms through TaxBandits, you can opt in to Postal Mailing either during the filing process or after submission.
    
2. We print and package it for you - TaxBandits will print your recipients’ copies along with the necessary IRS instructions. These are placed into secure #10 double-windowed envelopes, ensuring confidentiality and compliance.
    
3. We mail the forms for you - TaxBandits mails the forms directly to your recipients—whether they’re in the U.S. or overseas. No manual mailing is required on your end.
    
4. Track everything in your dashboard - You can track the entire process—from printing to delivery—within your TaxBandits account. You’ll know when forms are sent and where they are in the process.
